We are Cullen’s Cottages, a boutique rural accommodation at Fort William, Roundwood, County Wicklow, owned and operated by Ciara & Eamonn Cullen.

Scope of this policy

This policy explains how we handle personal data when you:

  • browse our website

  • enquire or book directly with us

  • book via our agent partners, such as Airbnb or Unique Irish Homes

The personal data we collect

Data you give us directly

  • Identity & contact: name, email, phone

  • Booking details: dates, party size, property selected, special requests

  • Group composition: total number in group and ages of children (for safety and suitability of accommodation)

  • Payment information: for direct bank transfer bookings, we see payer’s name and reference; for agent bookings, payment is handled by the agent, and we only receive booking details

  • Communications: emails and messages relating to your stay

Data we generate during your stay

  • Operational notes such as key collection, maintenance requests, or any damage reports

Data we receive from third parties

  • Booking agents supply us with reservation details and guest contact information that you provided to them.

We do not intentionally collect special category data, and we do not use automated decision-making.

Why we process your data

  • To provide and manage your booking, the legal basis is contract

  • To run a safe, well-kept property (house rules, damage/incident logs, safety and maintenance), legal basis: legitimate interests

  • To comply with the law (tax, accounting, regulatory requests) — legal basis: legal obligation

  • To send service messages about your stay (arrival info, reminders) — legal basis: contract / legitimate interests

  • To send marketing updates  only if you opt in on a legal basis: consent

If you do not provide the necessary data to process a booking, we may be unable to accept your reservation.

Who we share data with

  • Booking agents, where applicable, to manage reservations

  • Payment services and banks, to process or reconcile payments

  • Website hosting and IT service providers

  • Email and communication tools for enquiries and updates

  • Analytics and advertising providers (see section below)

  • Professional advisers (accountants, insurers) and authorities, where required by law

We never sell your data.

Website hosting and analytics

Our website is hosted with IONOS, which processes hosting data such as server logs, IP addresses and error reports. IONOS is bound by GDPR processor agreements.

We also use Google Analytics, Google Search Console, and Google Tag Manager to understand how visitors use our site. These services may collect information such as IP addresses, device identifiers, and browsing behaviour. We use this information only to improve our website and services.

We use Facebook Pixel to measure the effectiveness of our advertising and to deliver relevant ads. This may involve tracking visits to our site and linking them to Facebook user accounts where you are logged in.

Where these providers transfer data outside the EEA, they rely on safeguards such as the EU Standard Contractual Clauses or adequacy decisions.

International transfers

Some of the providers we use may be located outside the EEA. Where this happens, we ensure that appropriate safeguards are in place, such as Standard Contractual Clauses or adequacy decisions.

Retention

  • Bookings and invoices: usually 3 years for tax and accounting

  • Operational notes and damage records: up to 3 years after your stay

  • Routine enquiries without booking: up to 24 months

  • Marketing with consent: until you unsubscribe or request deletion

Cookies

Our website uses essential cookies that are necessary to make the site function properly. We also use optional cookies for analytics and marketing (Google Analytics, Google Tag Manager, Facebook Pixel). You will be asked to consent to these, and you can change your preferences at any time.

Your rights

You have the right to access, rectify, erase, restrict or object to processing, and to data portability. Where we rely on consent, you may withdraw it at any time. You also have the right to lodge a complaint with the Data Protection Commission (Ireland). We encourage you to contact us first so we can resolve any concerns quickly. We respond to all valid requests within one month.

Children

For safety reasons, our accommodation is only suitable for children aged 8 and above. Many of our lodgings include stoves and open fires, which may present risks for younger children. We therefore request the ages of all children at the time of booking to confirm suitability and prepare the accommodation accordingly. We do not send marketing to children.

Security

We take appropriate measures to protect your data, including implementing access controls, encrypting data in transit where applicable, and ensuring contractual obligations are met with our service providers. In the unlikely event of a data breach, we will notify the Data Protection Commission within 72 hours and affected individuals, as required by law.

Updates

We reserve the right to update this notice from time to time. The latest version will always appear on our website with the effective date at the top.
